Lease Procedures & Criteria

  1. Leasing Process & Items to Submit to property management office:
    1. Each person over the age of 17 must complete a separate or Co-Applicant application and pay an application fee of 50.00.
    2. Bring the following items to our office at: 2300 Greenhill Dr., Bldg 2, Suite 200, Round Rock, TX 78664
      1. A readable copy of the current driver’s license for each applicant
      2. Proof of income stated on application (minimum 3 months) in the form of pay stubs. Newly-employed applicants must provide an acceptance letter stating position and wage amount. Self-employed applicants must provide most recent tax return and three month's bank statements. Proof of earnings from social security, child support, alimony or spousal support must be provided. Unverifiable income will NOT be considered.
      3. Application fee of 50.00 per applicant (if not paid online, must be in the form of money order or cashier’s check made out to: “HBH Management” as well as the applicant’s name. Example: "HBH Management” or John Smith")
      4. Picture of pet(s) that will be on the property.
    3. After submission, the management company will contact the owner and go over the application.
      1. If owner chooses to move forward with applicant, management company will deposit application fee and obtain credit, criminal, eviction, employment and rental history for verification. This process can take up to 72 hours. We will contact you or your agent as soon as we have a final answer from the screening company and have presented the screening results to the owner.
      2. If owner does not choose to move forward with applicant after reviewing application and before screening, application fee may be returned to the applicant.
    4. Once all records have been verified by the screening company, and if applicant is accepted, management company will inform applicant or their agent. The security deposit must be paid with certified funds within 48 hours of acceptance for the property to be removed from the active rental market. The deposit may be paid online at or with money order or cashier's check (no personal checks).
    5. All required paperwork including the new lease must be signed as soon as possible after acceptance. Further, the first full month’s rent, pet deposits and all fees are due before keys will be issued and move-in allowed. If the applicant takes possession in the middle of a month, the prorated rent is due on the 1st day of the next month.
  2. Reasons for Denial of Application:
    1. Inability to verify current rental history (applicant has not given vacating notice to current landlord)
    2. Required application fields not completely or incorrectly filled out
    3. Inability to verify employment and minimum monthly income of 3X (three times) the rent
    4. Inability to verify 2 recent years of good rental history or ownership of property
    5. 2 or more NSF checks or bounced checks on current lease
    6. Evictions or rental judgments in the past 4 years
    7. Poor credit history due to collections, back payments or unpaid debt
    8. Criminal activity
  3. We may accept a guarantor for those applicants who are first time renters or who may not meet income requirements. The guarantor will have to meet our criteria for income. The guarantor's monthly income must be verifiable and be 5X (five times) the rent. We must also be able to verify their credit history, employment, and criminal background. Any adverse conditions as mentioned in paragraph 2 above will disqualify the guarantor. The guarantor will be responsible for 100% of all the tenant's costs relating to the rent and any damages.
  4. Pet Criteria (only for those properties that allow pets)
    1. See property listing(s) for weight and number of pets allowed.
    2. Picture of pet(s) must be submitted with application.
    3. Pet security deposit is $250 per pet and a non-refundable, one-time pet fee of $200.
    4. The following breeds are not accepted due to insurance company requirements:
      Any dog with a biting history, Akita, American Bull Dog, Bernese, Bull Terrier, Chow Chow, Doberman Pinscher, Husky, Malamute, Mastiff, Pitt Bull, Rottweiler, Staffordshire Bull Terrier, Wolf Hybrids, or mix of any of the above.
